ProjectFlow ("we", "our", or "us") is committed to protecting the personal information of users of the ProjectFlow Attendance mobile application ("App"). This Privacy Policy explains what information we collect, how we use it, and your rights in relation to it.
By using the App, you agree to the collection and use of information in accordance with this policy. If you do not agree, please discontinue use of the App.
2. Information We Collect
We collect only the information necessary to provide attendance management functionality. This includes:
- Account information: Your name, employee ID, email address, and role within your organisation, as provided by your organisation's administrator.
- Attendance data: Check-in and check-out timestamps, dates, and any notes or remarks you or your manager add to attendance records.
- Location data: Approximate GPS coordinates at the time of check-in or check-out, only when you initiate these actions. We do not track location continuously or in the background.
- Leave requests: Details of leave applications you submit, including type, dates, and reason.
- Device information: Basic device identifiers (such as device model and OS version) used to ensure app compatibility and security.
3. How We Use Your Information
The information we collect is used solely to provide and improve the App. Specifically, we use it to:
- Record and display your attendance history accurately.
- Allow managers and administrators to view and manage team attendance.
- Process and track leave applications and approvals.
- Generate attendance reports for your organisation.
- Send push notifications for check-in reminders and leave status updates.
- Ensure the security and integrity of your account.
- Diagnose technical issues and improve App performance.
We do not use your personal data for advertising, profiling, or any purpose unrelated to the attendance management service.
4. Data Sharing
We do not sell, rent, or trade your personal data. We may share your data only in the following limited circumstances:
- Within your organisation: Your attendance records and leave data are accessible to your organisation's managers and administrators as part of the core service.
- Service providers: We may share data with trusted third-party services (such as cloud infrastructure providers) that assist us in operating the App. These providers are contractually bound to keep your data confidential and secure.
- Legal obligations: We may disclose data if required to do so by law or in response to valid requests from public authorities.
5. Data Retention
We retain your attendance and account data for as long as your organisation's account is active, or as required by applicable law. When an organisation account is terminated, associated user data is deleted within 90 days unless a longer retention period is required by law.

6. Data Security
We implement industry-standard security measures to protect your data, including:
- Encrypted transmission of data using HTTPS/TLS.
- Secure, access-controlled cloud storage.
- Regular security reviews and vulnerability assessments.
- Role-based access controls to limit who can view your data.
While we take reasonable precautions, no method of transmission or storage is 100% secure. We encourage you to use strong, unique passwords and report any suspected security issues to us promptly.
7. Location Data
Location access is used exclusively at the moment you check in or check out. We record your approximate GPS coordinates to associate attendance entries with a location. This data is visible to your organisation's administrators.
We do not collect background location data. You may deny location permissions in your device settings, though this may affect location-verified attendance features.
8. Push Notifications
The App may send push notifications for check-in reminders, leave approvals, and other attendance-related alerts. You can manage notification preferences within your device's settings at any time.
9. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access the personal data we hold about you.
- Request correction of inaccurate data.
- Request deletion of your account and associated data.
- Object to or restrict certain processing of your data.
- Receive a copy of your data in a portable format.

10. Children's Privacy
The App is intended for use by working adults within registered organisations. We do not knowingly collect data from individuals under the age of 16. If you believe a minor has provided us with personal data, please contact us immediately.

We may update this Privacy Policy from time to time. When we make significant changes, we will notify users through the App or by email. Your continued use of the App after any changes constitutes acceptance of the updated policy.
